External Job Description

Position: Officer - Level I (Training and Recruitment) 
Department: Personnel, 
Reporting to: Personnel Manager Reportees: None 
General Objective: Ensuring the achievement of targeted training mandays, planning for manpower requirements, facilitating recruitment efforts and proper manning in various departments, maintaining proper training records required for ISO documentation purposes, handling queries of workmen and staff. 
Job Description: 
a) Coordinating recruitment efforts in the plant through 
i)    Coordinating with Ad agencies for releasing Advertisements in the news papers.
ii)     Shortlisting bio data of applicants to meet required criteria.
iii)     Sending telegrams / call letters to the shortlisted candidates. 
iv)    Facilitating the selection process during written tests (administering the test, correcting answer sheets etc), group discussions etc.
v)    Booking hotel / conference hall for recruitment in the concerned city.
vi)    Ensuring travel arrangements of the personnel Manager to the venue. 
vii)    Ensuring availability of adequate number of Question papers and Answer sheets in the venue. 
viii)    Disbursements of Candidates travel reimbursements.
b)  Conducting joining formalities for new recruits by undertaking the following activities:
 i) Sending selected candidates for medical examination
 ii) Verification of original certificates. 
(iii) Administration of Statutory forms like PF, ESIC, Gratuity forms etc and ensuring that candidates fill them properly before collecting.
 iv) Preparing an induction schedule for new recruits and conducting induction programs for them in the plant. 
v) Creating a personal file for new recruits.
 vi) Issuing Appointment letters to candidates after the medical examination.
 vii) Updating new employee details in the employee Master file.
 viii) Issuing Identity cards to new recruits.
 ix) Issuing training cards to all new recruits when they join 
x) Issuing Induction workbook and questionnaire to Chemists and briefing them about the probationary period. 
xi) Coordinating with the concerned Managers and informing new employees about their allotted sections. 
c)Facilitating the implementation of planned training programs by 
i) Communicating with all concerned Managers regarding training programs planned for their sections. 
ii) Displaying the training notice in the notice boards for Staff & Workmen.
 iii) Inviting nominations from concerned Managers for training programs and freezing training nominations after a particular duration.
 iv) To take care of training administrative activities ( Attendance, booking of Conf. Hall / Training Centre, pens, pads, OHP arrangements, refreshments) etc.,
 v) Arranging for Air port pick-ups for any external trainers conducting training programs.
 vi) Taking attendance of trainees during a training program. 
vii) Updating training attendance in the system (whenever a training program is conducted.) viii) Distributing training feedback forms and preparing a training feedback report.
