Job Description – Human Resources & Administration
- Coordinate end‑to‑end recruitment activities at the plant, including interaction with advertising agencies, publication of recruitment advertisements, screening and shortlisting of applicant biodata, and communication with candidates for further selection stages.
- Facilitate the selection process by coordinating written tests, interviews, group discussions, walk‑in interviews, evaluation of answer sheets, and ensuring availability of required test materials at the venue.
- Manage recruitment logistics such as booking hotels or conference halls, arranging travel for selection panel members, ensuring availability of question papers and answer sheets, and processing candidate travel reimbursements.
- Conduct joining and onboarding formalities for new recruits including coordination of pre‑employment medical examinations, verification of original documents, and completion of statutory documentation such as PF, ESIC, and Gratuity forms.
- Prepare induction schedules and conduct induction programs at the plant to familiarize new employees with company policies, safety practices, and departmental processes.
- Issue appointment letters, create and maintain personal files, update employee master records, and issue identity cards and training cards to new joiners.
- Distribute induction workbooks and questionnaires to chemists and brief new employees on probationary requirements and performance expectations.
- Coordinate with concerned department managers regarding deployment of new employees and communicate their allotted sections and reporting structures.
- Support implementation of planned training programs by coordinating with department managers, communicating training schedules, inviting nominations, and finalizing participant lists.
- Manage training administration activities including booking of training venues, arranging logistics and materials, capturing attendance, coordinating external trainers, and managing refreshments and travel arrangements.
- Update training attendance and feedback in systems, prepare training feedback reports, and maintain accurate training documentation for ISO and audit requirements.
- Handle general HR and administrative activities such as official travel bookings for employees, issuance of canteen coupons, ID cards for various categories of employees, and concession letters for staff, workmen, and guests.
- Prepare and circulate general HR notices, address queries from operators and staff, and provide day‑to‑day HR support as required.
- Facilitate staff and operator scheme loan documentation and coordinate with banks for submission and follow‑up activities.
- Liaise with various departments within the plant to ensure coordination and effective execution of HR activities and initiatives.
- Administer contract payroll‑related activities and support contract manpower operations in coordination with contractors.
- Prepare, finalize, and submit monthly manpower reports, training reports, attendance data, and other HR dashboards to Head Office and management.
- Ensure timely reconciliation and updating of manager leave records, attendance data, and related information for payroll processing.
- Maintain and regularly update ISO‑related HR and training records to support statutory, quality, and compliance audits.
