External Job Description

The Supply Chain Executive is responsible for coordinating procurement, logistics, inventory control, and vendor management to ensure seamless material flow and timely order fulfillment. This role supports end to end supply chain operations to enhance efficiency, reduce costs, and meet customer delivery expectations

 

Key Responsibilities

1. Procurement & Vendor Coordination

•            Create purchase orders, follow up on delivery schedules, and resolve supply issues.

•            Maintain supplier databases, agreements, and performance metrics.

•            Ensure cost-effective purchasing while maintaining quality standards.

2. Inventory Management

•            Monitor stock levels and maintain optimal inventory to avoid shortages or excess - Live Inventory Tracker.

•            Maintaining Records for MRV material.

•            Conduct periodic cycle counts and stock audits.

•            Coordinate with warehouse teams on receiving, storage, and dispatch processes.

•            Implement FIFO/FEFO and ensure material traceability.

3. Logistics

•            Plan and track inbound/outbound shipments to ensure on-time delivery and Maintaining Records.

•            Manage logistics documents—GRN, delivery challan, e-way bills, invoices, etc.

•            Handle regular and month-end dispatches end‑to‑end, including material readiness, vehicle arrangement, documentation, tracking, and delivery confirmation.

 

 

4. Order & Production Support

•            Process customer orders and coordinate dispatch planning.

•            Liaise with production and QA/QC for smooth operations.

•            Track order status and proactively communicate any delays or exceptions.

5. Data Management & Reporting

•            Maintain accurate records in ERP systems (ZOHO/Advance MS Excel).

•            Prepare daily/weekly/monthly MIS reports on procurement, inventory, and logistics.

•            MTO/CXA Product – Order vs Billed Report.

•            Warehouse Inward Plan.

•            Track key KPIs such as OTIF, inventory turnover, lead time, supplier performance.

6. Sales Order & Process Improvement

•            Creating sales orders at the month end.

•            Identify opportunities to improve supply chain efficiency and reduce costs.
