External Job Description

Key Responsibilities:

  • Facilities Administration

In charge of utility system operation and maintenance includes HV & LV electrical system, UPS, Cooling towers, water-based Chiller plants, Radiant Cooling System, AHU’s, FCU’s, CSU’s, Ventilation system, DG, HPN system, Fire systems, CCTV, Lifts, BMS and various other MEP resources.

Ensure the mechanical, ventilation, electrical, Fire and plumbing systems and equipment are in optimal condition to support the daily and emergency activities in a large office setup.

Must have knowledge of a wide variety of facilities, experience in managing, guiding and motivating team of technicians.

Have a working and technical expertise in asset management, cleaning processes, cleaning equipment and safety processes including work permit system.

Devise and deploy maintenance philosophy for efficient use and upkeep of all equipment/machinery.

Must be self-directed and capable of operating without direct supervision

Must be able to read and understand OEM and non-OEM documentation, schematics, drawings, and manuals

Must be capable of using catalogs, manuals, and the Internet to source information and repair parts.

Must be able to schedule and perform the repairs and organize the efficient completion of work orders within timelines.

  • Project Coordination:
    • Assist in planning, scheduling, and executing engineering projects.
    • Monitor project timelines and ensure deadlines are met.
    • Allocate resources such as manpower, equipment, and materials.
  • Documentation & Reporting:
    • Maintain engineering documentation including drawings, reports, and specifications.
    • Prepare agendas, meeting minutes, and distribute action items.
    • Compile and edit presentation materials for meetings.
    • Audits and compliance
  • Administrative Support:
    • Manage calendars, schedule and coordinate meetings
    • Prepare BOQ’s, source quotations, negotiate with vendors, deploy resources for job completion.
    • Prepare commercial proposals, AMCs, vendor agreements.
    • SAP operations, vendor registrations, create purchases orders, process invoices and coordination with accounting offices.
  • Communication & Liaison:
    • Facilitate communication at all levels and with other departments.
    • Liaison with Govt offices as and when required
    • Provide regular updates to stakeholders on project progress.
    • Interface with vendors and external partners as needed.

Qualifications:

  • Bachelor’s degree/ Diploma in Engineering
  • 1–3 years of experience in engineering administration in an office setup
  • Proficiency in Microsoft Office Suite and project management tools, CAD, SAP
  • Familiarity with engineering principles and terminology.
