External Job Description

1. Time Office & Attendance Management

  • Monitor daily attendance of employees and contract labour
  • Update leave records in the Attendance Management System
  • Ensure accuracy of attendance, overtime and shift data
  • Coordinate with departments for correction of attendance discrepancies

2. Payroll Management

  • Prepare monthly Payroll Input Sheet based on attendance, OT, leave and changes
  • Verify Salary Register to ensure accuracy before payroll processing
  • Prepare and maintain payroll-related MIS and reports
  • Ensure zero payroll errors and timely payroll closure

3. Employee Life Cycle (ELC) Management

  • Handle end-to-end ELC activities including:
    • Induction and joining formalities
    • Confirmation process
    • Promotions and transfers
    • Changes in reporting relationships
    • Separation and Full & Final settlement coordination
    • Preparation and issuance of relieving letters
  • Ensure no delay in ELC events

4. Recruitment & Manpower Management

  • Manage end-to-end recruitment process including:
    • Written tests and interviews
    • Coordination with hiring managers
  • Source candidates through job portals and recruitment consultants
  • Handle walk-in interviews at plant level
  • Prepare offer letters for selected candidates
  • Coordinate medical examination and documentation
  • Ensure 100% manning as per approved manpower plan

5. Training Administration

  • Coordinate and manage trainings as per Annual Training Calendar
  • Maintain and update training attendance and training records
  • Ensure compliance to mandatory and statutory trainings
  • Process payments for external trainers
  • Ensure 100% compliance to Training Calendar

6. Statutory & CLRA Compliances

  • File monthly statutory returns within stipulated timelines
  • Maintain statutory registers and records as per applicable labour laws
  • Manage Contract Labour (CLRA) compliance in coordination with contractors
  • Ensure contractor documentation, licenses, returns and audits
  • Ensure zero statutory non-compliance and zero audit observations

7. Personnel Administration

  • Procure and distribute employee welfare items
  • Maintain HR, Quality, Safety and Environment related records
  • Support plant HR activities and audits
  • Generate and submit monthly HR & statutory MIS reports
  • Ensure zero delay in submission of reports
